Labels tag tasks and notes that belong together across your life areas, goals and projects: errands, calls, things to do with a friend. Each label gets its own list of tasks under Views. This page covers creating labels, adding them to tasks and notes, finding everything with a label, and renaming, recoloring and deleting them.

Add a label to a task

1

Open the task

Click a task to open it beside your list.
2

Open the label picker

Click Empty next to Labels (or the labels already there). The picker lists the labels you already have.
3

Pick a label or create one

Click a label to add it. To make a new one, type its name and click Create “…” (or press Enter). Heym gives a new label a color at random; you can change it later.

Typing a new name in the label picker

A task can have as many labels as you like. To take a label off, open the picker and click the × on it. In your lists, a task shows its labels next to its date. If you type the name of a label you already have, Heym picks that label instead of creating a second one with the same name.

Type # while you write a task

When you write a new task, type # followed by a label name, for example Buy stamps #errands. Heym suggests matching labels, and offers Create for a name you haven’t used yet. A label typed this way is one word, without spaces. The other things you can type into a task title are on Type a task in one line.

Label several tasks at once

In a list, press ↓ or ↑ to move to a task and X to select it. Repeat for each task you want, or press ⇧↓ or ⇧↑ to extend the selection by one task. Then press ⌘K and choose Change labels…. Click a label to add it to every selected task, or click it again to remove it from all of them. More about selecting tasks is on Keyboard shortcuts.

Label a note

Open the note. If you don’t see Labels under the title, point at the space just above the title and click Show properties. Then, under Labels (next to Alignment), click Empty or the labels already there. The picker works the same way as on a task, and both use the same labels. On the Notes page, open the view settings and set Group to Label to see your notes sorted by label. More on Notes.

See everything with a label

Every label has its own list of tasks:
  1. Click Views in the sidebar (or press G then V).
  2. Under Labels, click the label.
The Focus label's page under Views, listing the two tasks labeled Focus: Draft the Q4 offsite agenda and Outline the all-hands talk, with the filter, view settings, star and ⋯ icons at the top right

The list for the Focus label

The list shows the open tasks with that label (add a Status filter to see its completed tasks instead). A task you add with New task on this page gets the label automatically. You can add more filters, sort and group it like any view; see Views and filters. To keep a label one click away, click the star at the top right to add it to your favorites in the sidebar (Customize Heym). You can also narrow Inbox, Today or Upcoming to one label: click the filter icon at the top right of the page, then Label. To sort Inbox or Today into one group per label, click View settings next to the filter icon and set Group to Label. Tasks without a label go under No label. More on Inbox, Today and Upcoming.
A label’s list shows tasks only. Notes with the label appear on the Notes page when you group by Label.

Rename, recolor or delete a label

  1. Click Views in the sidebar.
  2. Under Labels, point at the label and click ⋯ on the right.
  3. Change the name in the box at the top, pick a color under Colors, or click Delete.
The menu of the Focus label, opened from the ⋯ at the right end of its line: a name box, Copy link, Delete, and a Colors list from Default to Red with Purple checked

The ⋯ menu of a label on the Views page

The same menu opens from ⋯ at the top of a label’s page. In the label picker, ⋯ next to a label opens it too, without Copy link. Copy link copies the address of the label’s list. There are 12 colors: Default, Gray, Brown, Orange, Yellow, Green, Cyan, Blue, Purple, Plum, Pink and Red. A new name or color applies to every task and note with that label.
Deleting a label removes it from every task and note that has it. The tasks and notes stay. Heym asks you to confirm, and there’s no undo afterwards.

Good to know

  • Habits don’t take labels. Labels work on tasks and notes.
  • Projects, goals and life areas aren’t labels. To group work toward one outcome, use a project or a goal. Labels cut across them.
  • Labels are your own. On a task or note in something shared, the labels you add are visible only to you, and you don’t see the labels other people add.

Limits

Labels are unlimited on every plan, including Free. A label name can be up to 100 characters.

Views and filters

Filter tasks by label, priority, date and more, and save the result.

Type a task in one line

Add labels, dates and priority while you type.
